At a small design team in Chengdu, Mo receives an English message from a colleague who is working abroad: 'Could you update the slides and send them over tomorrow?' Mo is tempted to answer 'Got it' and start immediately. However, the shared folder contains two versions of the presentation, and tomorrow will begin at different times for the two colleagues. A quick acknowledgement would show that Mo had read the message, but it would not settle these practical questions.
Mo replies, 'Thanks, I've seen your message. Do you mean the customer presentation in the September folder? I can update the charts, but I need the latest figures first.' He adds one question about timing: 'Would 4 p.m. Beijing time on Thursday work for you?' He does not ask the colleague to repeat the entire request. By naming the file, the expected change and the missing information, he makes it easier to correct a misunderstanding early.
The colleague confirms the file and sends the figures. The deadline is acceptable, but one chart also needs a new explanation. Mo summarises the agreement in a short message: he will update three charts, add the explanation and place the revised file in the shared folder by the agreed time. He separately notes that the title of the final section is still waiting for approval. This prevents an unresolved detail from disappearing inside a general promise that everything is under control.
The exchange takes a few extra lines, yet it saves Mo from editing the wrong file or making a promise he cannot keep. 'Got it' remains useful when the task is already clear; it is not a bad phrase that must always be replaced. The skill is deciding what needs confirmation in this particular conversation. A helpful reply can acknowledge the message, state the next action and identify one blocker without becoming a long report or an unnecessary apology.
I've seen your message 只表示看过;Do you mean...? 用于核对理解;I'll send... by...
I've seen your message. Do you mean the version in the shared folder?
by 与 at 的时间差别
by 4 p.m.
I'll upload the revised file by 4 p.m. Beijing time on Thursday.
