“Let us build a welcoming community” expresses an ambition, but it is not yet a plan someone can assess. Identify a concrete gap: new members of a workshop do not know whom to ask about materials. A useful proposal should show how a limited action might address that gap and how the group will judge the result.
Proposal: A welcome desk for the next two workshops. New members currently interrupt different volunteers to ask where materials are kept. I propose a small welcome desk for the first twenty minutes of each session. One volunteer would explain the layout and give each visitor a simple materials map. The organiser would prepare the map and arrange a rota. After two sessions, we would ask newcomers whether they found what they needed and volunteers whether interruptions became easier to manage.
Add what the trial requires and what it leaves unresolved. The desk needs a table, printed maps, and a willing volunteer; it does not replace specialist guidance during the activity. If resources are uncertain, label them as estimates or requests. Do not make another person responsible without checking their availability.
A crowded welcome desk is not automatically proof of success. It might mean the map is unclear or that too many people arrive at once. Use questions connected to the original problem, and explain what would happen next: continue, revise, or stop the trial based on the feedback. A proposal should make revision possible.
I propose…; would…
I propose a short trial. One volunteer would welcome visitors.
whether… and whether…
We would ask whether visitors found materials and whether volunteers could manage questions.
