先告诉读者需要什么
A request email works best when the reader can quickly identify the action you need. A vague opening such as “I am writing about something important” delays that understanding. Try a specific subject line and first sentence: “Room availability for 18 October” and “Could you confirm whether the small meeting room is available that afternoon?”
请求邮件最好让读者迅速知道你需要什么行动。“我写信想说一件重要的事”这样的模糊开头会拖延理解。试试具体主题和首句:“10 月 18 日活动室可用情况”“您能否确认小会议室那天下午是否可用?”

Subject: Meeting room request for 18 October. Dear Ms Chen, could you confirm whether the small meeting room is available from two to four on 18 October? Our reading group expects eight participants. We need chairs and a table but no projector. Please also let me know the booking fee and whether food is allowed. A reply by Friday would help us finalise the invitation. Thank you for your help. 礼貌不等于模糊
“If it is not too much trouble, perhaps you might possibly…” can make a simple request hard to locate. “Could you confirm…” is already polite in many routine situations. Include the reason for a deadline, and avoid presenting your preferred response time as an obligation you have authority to impose.
“如果不会太麻烦,也许您可能……”会让简单请求难以找到。很多日常情境中,Could you confirm 已经礼貌。给出期限理由,避免把自己希望的回复时间写成有权强加的义务。
一次完成关键问题
Before sending, check whether your questions can be answered from the information provided. Include the date, time, group size, and essential equipment when requesting a room. If there is flexibility, say so: “If the small room is unavailable, I would be grateful for another suitable option.”
发送前,检查对方能否凭现有信息回答问题。申请房间时,要有日期、时间、人数和必要设备。如有弹性就写明:“如果小房间不可用,若能推荐另一合适选项,我将不胜感激。”
